Migrating customer data
You can use ShopWired's customer import system to import customer data from your existing website into ShopWired.
When you migrate customer data, you can create customer accounts on your website for your existing customers:
- Details about the customer such as their name, telephone and email address
- Address information
To migrate customer data, you'll need to obtain a download of your customer data from your existing website. Most providers should offer a customer data download option (into a spreadsheet / ) - if you're unsure of how to obtain a download of your customer data, you should contact your existing website provider.
Once you've obtained a download of your customer data, you can then modify it into the required format for importing into ShopWired's customer import system.
Importing customer data into ShopWired
Once you have downloaded your customer data from your existing website, the data will need to be copied across to a new spreadsheet file that will be used to import it into ShopWired.
ShopWired has a specific format for importing customer data:
- Each column in the spreadsheet has a specific heading that must be used
- Each customer record is contained on its own row in the spreadsheet
- Customer data cannot be spread across multiple rows
- Only a single address for each customer can be included
- The
ID
column must be left blank
You can download a customer import template from your ShopWired account:
- Navigate to Customers
- Select
import
- Select
download import template
Open the downloaded file with spreadsheet editing software and copy across the data from your existing spreadsheet file into the corresponding columns in the ShopWired template file.
Once you have copied across all of the data, follow the instructions here to import the spreadsheet into your ShopWired account.
Important notes
When copying data across from your existing platform's data spreadsheet to the new ShopWired import template, please note:
- Each customer record must be contained on a single row within the spreadsheet
- The column headings on ShopWired's import template must be retained and cannot be changed
- Data must not be entered into any columns that don't have a column heading
Once you import your customer data, if you've made a mistake and need to complete the import again, you can use the delete data feature - although please be aware that this will delete all customer accounts from your website.
Trade customers
Trade customers
ShopWired also offers a trade customer import system. You can use this feature to migrate trade customers into your ShopWired account, following the same process as the one described for a standard customer import.
If you only have a few trade customers to import, consider importing them as standard customers and .
Customer passwords
Customer passwords
It is unlikely (and would be unsecure) if your customers' passwords are included in the download that you obtain for customer data from your existing website. As such, customers will need to create a new password to use on their customer account on ShopWired.
There are several options available:
- When you use the customer import system, you can enter a password for each customer
- Any password configured for a customer account should be unique to them and not used for other customers
- You can email the new password to each customer, making sure to tell them to change the password as soon as they log in to their account to something that only they know
- You can email your customers to let them know you have launched a new website and their existing passwords will no longer work
- Include a link in the email to the forgotten password page of your website, i.e.
/account/forgotten-password
and tell them to request a login link from this page - You can place some text information on the customer login of your website informing customers that existing passwords will no longer work and how to create a new one (i.e. by using the ) process
Order data
Order data
ShopWired does not have an order import feature, so you cannot import orders into ShopWired. As such, it is not possible to import historical order data from your existing website into your ShopWired account. Unfortunately, there is no workaround for this.
You'll need to continue managing existing orders, created on your old website, separately from ShopWired.
When emailing customers about the change of password for their customer account, ShopWired recommends including a notice that on logging into their account, any orders placed before the launch of the new website will not be visible.
